2. How to Submit a Deletion Request

You may submit a deletion request through any of the following methods:

• Via WhatsApp: Send a message directly to the clinic you have been communicating with, stating that you wish to delete your personal data
• Via Email: Send an email to info@smartclinicaihk.com, including your name, contact number, and the relevant clinic
• Directly Contact the Clinic: As the clinic is the primary controller of patient data, we recommend contacting the relevant clinic directly; we will work with the clinic to complete the deletion

3. Processing Time

Upon receiving a deletion request, we will complete verification and deletion within 30 business days. We will confirm completion via the contact details you provided.

4. Exceptions

In certain circumstances, some data may need to be retained, including:

• Where applicable law or regulation requires retention of specific records
• Where the data is relevant to an unresolved dispute or legal proceeding
• Where the clinic needs to retain specific medical records to meet its professional and regulatory obligations

Where any of the above applies, we will explain the reason and expected retention period.
